Refund Policy

This Cancellation and Refund Policy applies to all hotel bookings and airline ticket purchases made through our platform or affiliated services.

1. Event Booking Cancellation (Clients Booking Event Services)

1.1 Cancellation by the Client

  • More than 60 Days Before Event: Full refund of deposit, minus a 10% administrative fee.
  • 30–60 Days Before Event: 50% of the deposit will be refunded.
  • Less than 30 Days Before Event: No refund of the deposit. Additional cancellation fees may apply if third-party services (e.g., catering, venue, performers) have been confirmed and are non-refundable.

1.2 Non-Refundable Expenses

  • Any non-recoverable costs incurred on behalf of the client (e.g., venue booking fees, vendor payments, materials) will be deducted from the refund amount or billed separately if not already paid.

2. Cancellation by Event Organizer

In the rare case that SEM Meetings and Events OPC Pvt Ltd cancels an event or service:

  • Clients will receive a full refund, including any deposits.
  • We are not responsible for indirect losses such as travel, accommodation, or loss of business.

3. Hotel Booking Cancellation Policy

Conference Hotel Bookings

  • Free Cancellation: Cancellations made at least 30 days before the check-in date will receive a full refund.
  • Cancellations made between 29 -15 days of check-in will incur a cancellation fee of 30%.
  • Cancellations made between 14 - 7 days of check-in will incur a cancellation fee of 50%.
  • Cancellations made 6 days and lesser before the arrival day – 100% retention no refund
  • No-Show: Guests who do not show up and do not cancel in advance will be charged 100% of the booking cost.

1.2 Non-Refundable Bookings

  • Bookings labeled as non-refundable are not eligible for cancellation or refunds under any circumstances, including no-shows or travel disruptions.

2. Airline Ticket Cancellation Policy

2.1 Refundable Tickets

  • Fully refundable tickets can be canceled up to 24 hours before departure with no penalty.
  • Cancellations made within 24 hours of departure may incur a processing fee, depending on the airline's policy.

2.2 Non-Refundable Tickets

  • Tickets marked as non-refundable cannot be canceled for a refund.
  • However, in many cases, the value of the ticket may be credited toward future travel (minus a change fee), subject to the airline's fare rules.

2.4 No-Show Policy

  • Passengers who fail to check in or board without canceling will forfeit the entire ticket cost. No-shows are not eligible for refund or credit unless explicitly stated in the fare rules.

3. How to Request a Cancellation or Refund

  • Cancellations and refund requests must be submitted via our official email info@semmeetings.com.
  • Processing time for refunds may vary by provider but generally takes 7–14 business days.
  • Credit card processing fees or service charges may be non-refundable.

4. Exceptions & Force Majeure

In cases of natural disasters, public health emergencies, flight cancellations by the airline, or other force majeure events, we will make every effort to secure waivers or full refunds from our partners. However, outcomes will be subject to the policies of the airline or hotel.

5. Conference Delegate Fee – Cancellation and Refund Policy

This policy outlines the terms and conditions for cancellations and refunds related to delegate registration fees for the [Name of Conference].

5.1. Delegate Cancellations

5.2 Cancellation Requests

  • Full name
  • Registration reference number

  • Reason for cancellation (optional)

5.3 Refund Schedule

Note: Refunds are processed within 14 business days of approval.

5.4. Delegate Substitution (Transfer of Registration)

  • Delegates may transfer their registration to another person from the same organization at no cost.
  • Substitution requests must be submitted at least 7 days before the event.

5.6. No-Show Policy

Delegates who do not attend the event without prior notice will be considered no-shows and are not eligible for any refund.

5.7. Conference Cancellation or Postponement

If the event is canceled or rescheduled by the organizers:

  • All registered delegates will be notified immediately.
  • Delegates will be offered:
    • A full refund, OR
    • The option to transfer registration to the rescheduled date at no extra cost.

Organizers are not liable for travel or accommodation expenses incurred by delegates.

5.8 Force Majeure

No refunds will be issued for cancellations due to events outside the organizer’s control, including but not limited to:

  • Natural disasters
  • Acts of terrorism
  • Public health emergencies
  • Government regulations or travel bans

In such cases, organizers will attempt to reschedule the event or provide virtual attendance options, where possible.

6. Refund Method

  • Refunds will be issued via the original method of payment.
  • Bank or credit card processing fees may be non-refundable depending on the payment gateway provider.
